PDF Compress Quality of Tool:

A PDF file of size 1.17 MB is processed with the tool.



Step1) Launch the tool in the system and open it. On the welcome screen, you can see four different options. Click on Compress button in order to compress the PDF file size. 



Step2) There are two options in the tool to select PDF file from system for processing. Either choose “Add File (s)” or “Add Folder” to import PDF file into tool. At a time, multiple PDF files can be selected for being compacted.


Step3) Navigate to the location in system where PDF file is saved, select it, and hit the Open button.


Step4) Click on “Browse” button in order to define a destination location where resultant PDF file has to be saved. Click on Next button to Continue.


Step5) Following window will pop up on screen with option to customize the compress PDF process. 


A PDF file might comprise of images and text data. For compressing images in PDF file, there is Advance Settings option available in the tool.  


Under the Advance Options for Compress PDF section, there are four different image compression algorithms embedded in the tool. Either default value can be set or select the radio button for algorithms and adjust the value using the scroll bar.


Step6) Under the Page Options, the first radio button is for defining the pages that are to be compressed in PDF file. Following selections can be made:

All: The software will process all pages of the document.

Odd: The software will process pages with odd number (page number 1, 3, 5, 7 etc.)

Even: The software will process pages with odd number (page number 2, 4, 6, 8 etc.)

The second radio button is to select the Page Range. Define a page range and the tool will process compress action only on those pages. For example: If there are 10 pages in the PDF file and page range is selected as “1 to 5”, the software will adjust PDF file size through these pages only.

The third radio button is for defining pages through comma separated values. Define page numbers on which the compress action should be processed by the tool. Hit the Next button to continue.


Step7) Software will give a summary about the credentials provided for compression. Check them and if any changes are to made, click the Previous button or select Start button to initiate the compression process.


Step8) The software will start compacting the PDF file and when the process is complete, a message informing about the same will pop up on screen. 


Analyzing the Output:

Before compressing the PDF file, its size was 1.17 MB which is reduced to 505 KB only. The images in the file are a little dark. May be because Group4Fax default value was high! You can keep it low to maintain color efficiency.  



Convert PDF to PDF/A with the Tool:

Step1) On the welcome screen of the software, click on “Convert PDF to PDF/A” button.


Step2) Click on “Add File (s)” or “Add Folder” button in order to select PDF from machine that has to be converted into PDF/A format


Step3) Navigate to the location in system where PDF file to be processed is saved. Select the file and click on the Open button.


Step4) To provide a destination location to save the output, click on “Browse” button at the bottom-left of the screen. Click Next to continue.


Step5) Software will display a summary of details provided for conversion. If any changes are to be made, click Previous button else click Start to continue. 


Step6) The software will display status of conversion: Pending or Complete. Once the conversion is done, information about it can be availed through message on screen.


Analyzing the Output:

Please note that filename extension of PDF and PDF/A does not make a different. Thus output file too has .pdf file extension. Due to image, usage of color, and font, the size of PDF/A is relatively large.


Extract Images from PDF File: 

A PDF with only two Images is Processed:

Step1) On the home page of the tool, click on “Extract Images” button.


Step2) To select PDF file for processing, click on “Add File (s)” and “Add Folder” button.


Step3) Move to the location where PDF file for image extraction is saved. Select it and hit Open button.


Step4) Provide a destination location in the system where resultant images extracted from PDF file has to be saved. Click Next to continue.


Step5) On the “Extract Image (s)” dialog box, click on “Advance Settings” button. A window will pop up that will help to define maximum and minimum size of the image. Also, inform the software if all images from the PDF are to be extracted or only visible images. Click OK.




There is provision to save the images in some standard file formats for images like JPG, PNG and many others. For this, use the drop down menu for “Save Images (s) as:


Step6) Again, there are page options in the tool that works similar to Compress PDF process. Click Next.


Step7) Software will display details of credentials that are being provided for image extraction. To modify settings, click Previous else click Start button.


Step8) The software will start extraction process and will inform about its completion through a message on screen.


Analyzing the Output:

Images in selected file formats are extracted and their pixels are fine. No compromise with their quality is done by the tool.

Extract Text from PDF File:

A normal PDF file with Text is processed:

Step1) On home screen of the tool, select “Extract Text


Step2) To import PDF file into the tool, click on “Add File (s)” and “Add Folder” option.


Step3) Navigate to the partition in system where PDF file to be processed is saved. Select the file and Open it.


Step4) Define a location in system where extracted text from the PDF file has to be saved and click Next


Step5) On the Extract Text window, there are multiple options to customize the extraction process.

Enable the “Maintain Formatting” option so that font color, size, and type remain intact.

Enable the “Maintain Page Number” option so that an idea can be availed as from which page the text has been extracted. Page number can either be maintained at the top or at the bottom.

Click on “Advance Settings” button. There is option to add some text in the Header and Footer of the text. Also, in order to define the page number and page name, use “&page” and “&name”


Page Options in this section are similar to that in case of Compress PDF file segment.

Step6) A summary of options enabled and disabled will be shown on screen. The any modification, click on Previous button and to initiate text extraction process, click “Start”.


Analyzing the Output:

The text of PDF file is extracted and saved in Notepad. Complete data is extracted with header and footer details informing about page start and end. 


Cons and Pros:

Pros: The tool as a whole is a complete PDF management solution. This four-in-one tool for the users is absolutely simple to operate and gives customization option to improve the processes.  

  •   PDF Compress action by the tool brings a huge change in the size of file without quality compromise.
  •   Multiple PDF files can be processed at a time which is a time-saving attribute in the tool.
  •   The Page options in the tool are an added benefit, especially when images or text is to be extracted from PDF with number of pages.
  •   Compression algorithms for images are helpful to maintain their quality while compressing the PDF file.
  •   Images can be extracted to standard file format. Also, a size by the user can be defined for the image.


Cons: Although there are some very helpful features in the tool but still if some minor improvement are made, there would be no other tool in its competition.

The Compression algorithms in the tool cannot be understood by a normal user. Instead the software should directly retain the quality of images while compressing PDF file.
